1. Who this policy covers
This policy applies to the Maknara website and app. It covers workspace owners and members who use Maknara to manage projects, and clients who open a scope page, approve a change order or book a call.
For project content, the agency or freelancer who owns the workspace decides what is added. Maknara processes that content on their behalf.
2. Information collected
- Account details. Name, email, workspace name and password or sign-in provider.
- Project content. Discovery answers, requirements, baselines, ledger entries and change orders.
- Evidence you add. Emails, messages, notes, transcripts, audio and video files you upload or connect.
- Calendar data. When you connect Google Calendar, busy times from the calendars you choose and the events Maknara creates.
- Usage and device data. Pages viewed, actions taken, browser type and approximate location from IP address.
- Billing details. Handled by the payment processor. Maknara stores the plan, invoices and the last four card digits only.
3. How information is used
Information is used to run the service: checking requests against your baseline, keeping the scope ledger and SCOPE.md current, sending notifications and reminders, scheduling calls and billing your workspace.
Usage data is also used in aggregate to fix problems and improve Maknara. It is never sold or used for advertising.
4. AI processing
Evidence is processed by AI models to find requests and compare them with the approved baseline. The results are suggestions: nothing is sent to a client until a workspace member reviews it.
Your content is not used to train Maknara’s or any third party’s models. AI providers process it only to return a result and do not keep it beyond their abuse-monitoring window.
5. Clients and scope pages
A client sees only what the workspace shares on their scope page: the approved baseline, change orders and approval history. Internal notes, evidence and ledger entries marked internal stay private.
When a client approves or declines a change order, Maknara records their name, email, the decision and the time.
6. Sharing
Information is shared only with service providers that help run Maknara, such as hosting, AI processing, email delivery and payments. Each is bound by a data processing agreement.
Information may also be disclosed when the law requires it, or as part of a merger or acquisition, in which case you will be told before your data moves under a different policy.
7. Retention
Project content is kept while your workspace is active. After you delete a project or close your account, it is removed within 30 days, and from backups within 90 days.
8. Security
Data is encrypted in transit and at rest. Access inside Maknara is limited to staff who need it to support you, and every access is logged. Vulnerabilities can be reported to security@maknara.com.
9. Your rights
Depending on where you live, you can ask to access, correct, export or delete your personal information, or object to how it is used. Most of this can be done from workspace settings. For anything else, email privacy@maknara.com.
Clients who want their information removed from a project should contact the agency or freelancer who owns it.
10. Cookies
Maknara uses essential cookies to keep you signed in and secure. Analytics cookies are used only with your consent and can be switched off at any time.
11. Changes and contact
If this policy changes in a meaningful way, workspace owners are told by email at least 14 days before it takes effect. Questions go to privacy@maknara.com.
